Why WhatsApp Over Email
Indian students check WhatsApp far more than email. Credentials sent via approved Meta templates reach students within minutes — no spam folder, no copy-paste errors, full audit trail.
Single-Student Send
- From /institute/admin → Students.
- Click on the student row.
- Hit "Send Credentials via WhatsApp".
- The Meta-approved template message goes to the student's registered phone, containing username, password, institute portal URL.
Bulk Send
For new batches:
- From the Students list, select multiple rows (checkboxes).
- Bulk Actions → "Send WhatsApp Credentials".
- System processes one by one, with rate limiting to honour WhatsApp Business API quotas.
- Result summary shows successful sends, failures, and reasons (invalid number, opt-out, etc.).
The Approved Template
We use the new_student_account Meta-approved template. Approved means:
- Pre-vetted by WhatsApp Business — high deliverability.
- Cannot be customised on a per-send basis (template is fixed; only variables interpolate).
- Variables: institute name, student name, username, temporary password, login URL.
Audit Log
- Every send is logged: timestamp, recipient phone, status (sent / delivered / failed).
- Failures show the reason: opt-out, invalid number, template rejected, rate limit.
- Filter the log by student or date for compliance records.
Common Failures & Fixes
- "Invalid number": phone format is wrong or missing country code. Update the student's phone and resend.
- "Opt-out": the student previously opted out of business messages. They'll need to opt back in by messaging the WhatsApp Business number first.
- "Rate limited": too many sends from your account in a short window. Wait an hour and resend in smaller batches.
Privacy & Security
- Credentials only go to the student's registered phone — no other.
- Passwords are temporary; students should change on first login.
- If a phone number changes, the old number does not receive any further sends.
